Privacy Policy

1. Information we collect

The information we handle depends on the Code Finix service you use and the information you or your Business provide.

Account information

This may include a username, name, email address, mobile number, user role, account or Business status, and registration or activation information.

Business information

For business services such as Order Manager, this may include the Business name and details, Business email, currency, order settings, user limits and notification preferences.

Customer and business operational information

Order Manager may process customer names, contact numbers, email addresses, area or address information, and assignments between customers and Sales Representatives.

Product and catalog information

This may include categories, product names, SKUs, barcodes, prices, commissions, stock information and product images.

Order information

This may include order identifiers, customers, Sales Representatives, order and delivery dates, area, notes, status, totals, currency, products, quantities, prices, commissions, references and synchronization information.

Device and security information

Order Manager may process an Android-ID-derived device identifier, device model or name, authentication and security records, activation, join or device-replacement challenges, and audit or security events. Authentication credentials held by the server are stored in protected forms such as password or token hashes where applicable.

Operational information

We may maintain activity records, synchronization metadata, order-submission and idempotency records, and email-delivery status needed to operate, secure and troubleshoot the service.

2. Offline storage and synchronization

Order Manager supports offline operation. The Android application may locally store assigned customers, categories and products, product image references, order drafts and items, customer and order snapshots, totals, notes, delivery dates, synchronization states or errors, session, Business and profile metadata, and encrypted authentication credentials.

Pending information may be synchronized with Code Finix servers when network connectivity and valid authentication become available.

3. How we use information

We use information as needed to:

• Provide, operate and maintain Code Finix services.
• Authenticate users and manage Businesses, Owners, Administrators and Sales Representatives.
• Maintain customer and product records and process or synchronize orders.
• Support device activation, device binding and account security.
• Prevent unauthorized access and investigate security or operational issues.
• Send service communications and provide customer support.
• Troubleshoot problems and maintain necessary operational and audit records.

4. Location

The current Order Manager Android application does not request GPS or location permission and does not actively collect the device's location. Other or future Code Finix products will be described in this policy if their practices differ.

5. Third-party services

Where relevant to the feature being used, Code Finix uses the following services:

• Google reCAPTCHA helps protect public forms from abuse and automated submissions.
• PayPal processes payments. Payment credentials are handled by PayPal and are not collected directly by the Code Finix PHP application.
• Yahoo SMTP supports delivery of website contact or payment-related email.
• DotLicense SendMail supports Order Manager service emails, including account-related and verification messages.
• jsDelivr and cdnjs deliver website interface assets such as styles, scripts and icons.

These providers may process information needed to deliver their functions under their own terms and privacy practices.

6. Cookies and local storage

The Code Finix PHP website may use CodeIgniter session cookies where session functionality is used. Authenticated Order Manager web functions use Django session and CSRF cookies. The website stores the selected light or dark theme preference in browser local storage.

Google reCAPTCHA may use its own browser, device or storage mechanisms when it is loaded. The currently inspected website and Order Manager implementation does not use active advertising cookies or behavioral-advertising technology.

7. Analytics and advertising

Code Finix does not currently use the inspected website or Order Manager application for behavioral advertising, and the inspected implementation does not currently contain an active general analytics platform such as Google Analytics or Meta Pixel. This policy will be updated if those practices change.

8. Data security

We use reasonable technical and organizational safeguards appropriate to the services we operate. These include authentication and access controls, device-binding and security mechanisms, HTTPS for production Order Manager Android communications, and encrypted credential storage in the Android application where applicable.

No transmission or storage method can be guaranteed completely secure. Users should protect their credentials and notify us if they suspect unauthorized access.

9. Data retention

Information is retained as necessary to provide and maintain the services, preserve legitimate operational and security records, meet applicable legal obligations, and resolve disputes, subject to applicable requirements. Retention depends on the type of information and why it is processed; this policy does not establish a single fixed retention period for every record.

10. Account and data deletion

Eligible Order Manager Business Owners may request permanent deletion of their Business account and associated tenant data. Requesting a verification email does not itself delete an account; verification and final explicit confirmation are required.

11. Children

Order Manager is a business application intended for use by adult business users. If a Code Finix product is intended for a different audience, its applicable information practices will be described separately or in an updated policy.

12. Your choices

You may update account information through available product functions, contact Code Finix about personal information or privacy questions, request account and data deletion where applicable, or contact support for assistance.

13. Changes to this policy

We may update this Privacy Policy as our services or information practices change. When we do, we will revise the “Last updated” date shown at the top of this page.
